About iLevelUP
iLevelUP is a free, AI-powered, game-based learning experience being developed by Believe in Me to help young people explore education and career possibilities and build self-confidence. The product is in limited beta. The learner is the main character, and iLevelUP is the guide.
Events Coordinator role overview
As an iLevelUP Events Coordinator, you will contribute practical expertise to a nonprofit education product in limited beta. Keep event logistics and contributors aligned. Coordinate vendors, volunteers, schedules, and cross-team communication so the event team can execute a clear plan.
You will work with the relevant team to agree on priorities, review progress, and document decisions. Because the product is still developing, clear handoffs and useful feedback matter.
What you will own
Your contribution centers on the responsibilities below. First, understand the current work and the needs of your collaborators. Next, agree on a manageable scope with the team lead. Then, share progress and raise blockers early. Finally, document the decisions that your teammates need for the next step.
Events Coordinator responsibilities
- Oversee all logistical aspects of event planning, including coordinating with vendors, managing event timelines, and ensuring all event materials are ready and available.
- Recruit, train, and manage event volunteers, ensuring they are well-prepared and assigned to tasks that align with their skills.
- Work closely with the marketing, communications, and fundraising teams to ensure events are aligned with iLevelUP’s broader organizational goals.
- Serve as a remote point of contact during events. Coordinate online updates and handoffs with virtual and local event contributors.
- Facilitate post-event debriefs to gather feedback from volunteers and staff, assess event success, and identify areas for improvement.
- Communicate regularly with volunteers and team members to keep them informed about event details, expectations, and roles.
- Assist in managing the event budget, ensuring that expenses are tracked and events are executed within the allocated budget.
Early deliverables
- First, review the current event planning and volunteer coordination work and identify useful next steps with your team lead.
- Next, agree on an initial deliverable, its review criteria, and the people who need to contribute.
- Finally, complete a reviewable piece of work and document what the next contributor needs to know.

- Excellent organizational skills and attention to detail, with the ability to manage multiple projects simultaneously.
- Strong leadership and communication skills, with the ability to engage and motivate volunteers.
- Ability to troubleshoot and make quick decisions during live events to ensure smooth operations.
- Proficiency in project management tools, Google Suite, and event management software.
